Buyer's edge

Hire an AI automation agency, or buy the software?

Most teams need one, not both. Buying a product is faster and cheaper when someone has already built your workflow; hiring an agency wins when the work is genuinely yours — bespoke, integration-heavy, or beyond your current skills. The trick is knowing which side of that line you're on before you spend anything.

Hire an agency

When it's the right call:

  • The work is custom — your process doesn't match any off-the-shelf product.
  • It has to plug into messy, legacy or heavily-customised systems.
  • You don't have in-house AI, data or integration skills yet.
  • It's a one-off transformation with a clear start and finish.
  • You need accountability for an outcome, not a licence.

Buy software

When it's the right call:

  • The need is repeatable and a product already solves it well.
  • Your budget is for seats and subscriptions, not project fees.
  • You want to own and operate it in-house from day one.
  • You need it live in weeks, not quarters.
  • Volume is predictable enough to price against a plan.

The hybrid path

In practice the answer is often both. You buy the tool — a receptionist, a support agent, an automation platform — and hire an agency for eight weeks to wire it into your CRM, migrate your data, write the prompts and train the team. You keep the licence and the knowledge; the agency leaves once it runs itself. If a vendor's implementation partner list is thin, that's a signal about how hard the product is to deploy.

A quick decision checklist

  1. 1Could you describe the job to be done in one sentence? If yes, a product probably exists.
  2. 2How many systems must it touch — and do they all have decent APIs?
  3. 3Who owns it in six months, and do they have the skills to keep it running?
  4. 4Is the cost of being wrong a cancelled subscription, or a written-off project?
  5. 5Do you need this once, or every week forever?
